Ask from College Council - ideas to improve training, recruitment and participation in shared governance  (continued from May 9)

    Training model, ideas
More training on 10+1, Robert’s Rule.
How does the Academic Senate fit into Title V?
    Facilitation skills, inclusiveness and equity.
Familiar with different decision-making models used in existing shared governance groups, like consensus, majority, consultation, rank choice, etc.
FAQ guide/training manual for all senators.
How to gather input from constituents and how to share-out information.
A system of mentoring and training within divisions so new members feel supported and can fall back on institutional knowledge within their divisions. Perhaps faculty who engage in training other faculty and students can earn PGA credit or be given additional pa.y

The IEPI Institutional Effectiveness Partnership Initiative provides state funding for PRT, Partnership Resource Team to assist with putting together a new shared governance model. There would be money for training materials and perhaps some stipends. However, the President is not interested in bringing in IEPI and PRT.

Everyone should have the necessary skills to step in and be productive from the beginning; have a good idea about the shared governance model; each committee will be responsible for putting their training regime.

Discussion followed on how to get more faculty involved in shared governance and to learn about the changes and the training; how to get them involved.

Someone suggested having a badge or some other ways to identify those who have been trained to focus on supporting underrepresented student groups. That may encourage more faculty to get training and get involved.

Dawn: Foothill has facilitation training that anyone can attend.

There were suggestions for Canvas courses with self-paced modules and onboarding videos on subjects such as Robert's Rule to empower people to serve. Also, some form of mentoring either in divisions or at the Senate.

Mary P: 30 minutes before a Senate meeting has worked well for mentoring students.

Some of the newer members expressed the need for a briefing before the meeting. They felt lost. The items moved quickly with no background on the issues. They didn’t know the question to ask and were not always sure on what was being voted on and why.

Glynn: where to get information without swaying people’s vote directly or indirectly; need to know what to be voting on; how to get non-bias information.

Mari: need to engage and encourage dialogue; there are always multiple points of view

Dawn: how to introduce and agendize issues; how and when to introduce items into the agenda

    2022-2023 Flex Report

    Flex Day, Flex activities

Community colleges receive apportionment and funding for professional development. Each college takes from instructional time an agreed upon number of days to do professional development for faculty, staff, and administrators. These are known as Flex Days. De Anza has 2 in the Fall, 2 in the Spring and 1 floating day.

Dawn has been working on the plan for next year’s. She came to ask the Senate the type of professional activities they would like to have next year?

What was submitted last year: De Anza Welcome Day activities, all department chair meetings, coffee chat with the Chancellor and President, yearly tenured and retiring faculty reception.

Dawn gave the state definition for topics under professional development:
Improving, revising, creating course curriculum; opportunities to improve course, instruction, and evaluation; in service training; instructional improvement; curriculum or learning resources development and evaluation; converting courses into a different modality orientation; improving student guidance advising guidance; maturation services; expansion of diversity, equity, and inclusion; conferences, workshops, institutional workshops; improvement of instruction, administrative or student services.

There were discussions and suggestions on professional development through the Senate.

From the previous discussion.:training on facilitation; training on Robert's rules; on boarding. Training on how to relay information to constituents.

There were concerns expressed over the timing of the Spring flex days that took two days out of instructions at the beginning of the quarter. It truncated the quarter and created havoc for students rushing to catch up.

The Senate came up with the following list of professional development activities for next year. Members put in chat their choices from the list.

    1. Training on facilitation.
    2. Explainer video on Shared Governance and Academic Senate
    3. Canvas modules for training/onboarding.
    4. Equitable syllabus. supporting students with better overview of services
    5. Better overview of student services offered for academic support like tutoring centers, library, OER, etc.
    6. Training for faculty to help students taking their first in person college class (may be during opening days?) Some students have only been online for their high school and college education. The Academic Senate could offer something like a workshop, or some training for faculty on how to not only welcome students but students who are taking an online class for the first time to help support their success in that class. The training can go both ways, for online and in person.
    7. Social activities for shared governance for fun, bonding, and community building, like movie or margarita nights.
    8. AB705 training to help faculty navigate its impact on students. AS could organize a series of conversations around recent legislation or assembly bills, those types of decisions that have impacted teaching and our engagement with students. It was suggested that it should be taken first to the deans or the Language Arts division.
    9. Partners in Learning program. Shagun shared about this pre pandemic, full day workshop on various topics that was run by student facilitators from Communication Studies. There was a beautiful synergy between the educators and the students, as well as the presenters.
    10. Mentoring part-time faculty on everything like universal design, pedagogy, and creating shells, etc.
    11. Continue chair meetings.
    12. Coffee chat with chancellor and president.
    13. Tenured and retiring faculty celebration.
    14. Shared governance/Academic Senate “club day” for faculty.
    15. Professional Development on practical culturally relevant teaching by discipline
    16. Universal Design in online teaching and other technology training on tools to improve teaching.
    17. Academic Senate Professional Development Committee.
    18. )Academic Senate Public Relations Committee (members with mediation training.)
    19. Legislative professional development.
